SXSW 2018 Stage Manager Handbook 17 DAY OF SHOW TIME LINE 5:30pm - 6:00pm - Arrive at your venue to see if it's ready for load in 6:00pm - Your stage crew should arrive to the venue to check in with you. 6:30pm - If you have any no show stage crew members please report them to the Volunteer Help Desk. 6:00pm - 7:00pm - All artists for that night should check in with you and begin loading into the venue. 6:30pm - 7:00pm - Your SX Door Person will arrive - please be sure either yourself or a stage crew volunteer is waiting at the door for them so they are greeted. 7:00pm - Alert your APM and Music Festival Programmer if an artist has NOT checked in with you 8:00pm - Usually this is when the first band of the night will go on. 8:00pm - 8:40pm - First band 8:40pm - 9:00pm - Set Change 9:00pm - 1:40am - repeat artist and set change 1:40am - 2:00am - Provide APM with attendance numbers sheet, load out of the venue SHIFT CALENDAR Select to view shift BEFORE YOU LEAVE THE VENUE • Once all of your shows are over around 2am please make sure to check a couple of things before you leave, and please make sure to call your APM before you leave for the night. Rental gear - If your artists have rental gear that needs to be picked up by the rental company, please do not leave the venue. Call your APM to let them know so they can wait with the gear until the backline company arrives to pick it up. • Overnight Security - Several, but not all, outdoor stages will have SX-hired overnight security to watch the PA system and stage. Your APM will know if you should expect overnight security and they may ask you to keep an eye out for them around 1:30am nightly. Your APM will need to check them in and give them instructions each night.
