SXSW 2018 Stage Manager Handbook 15 STAGE CREW GUIDELINE AND PROTOCOL COMMUNICATION You will have a volunteer stage crew to assist you day of show. You also need to advance information with your crew prior to being on-site. What You Need to Communicate with Your Crew: • Stage Crew Do's and Don'ts • Stage Crew Best Practices • Meetings • Volunteer No Shows • Shiftboard • Walk Through • Emergency Plan DO'S AND DON'TS DO'S: • Assist you in running the stage • Help artists move their gear on and off stage • Help you keep track of the artists • Help you organize backline DON'TS: • Count capacity for the venue • Act as security for the venue • Bar back or get drinks for the artists • Plug in any gear • Act as the sound engineer BEST PRACTICES Please remember that the stage crew are volunteers as well. Below are some tips on how to keep engaged with your stage crew volunteers. • Build a positive relationship with them • Keep them busy by assigning them tasks • Move them around from task to task during the night or week • Give them breaks throughout the night • Make sure they get to hospitality before it closes MEETINGS Attendance at the mandatory venue walk thru for all local stage crew. Make sure you clearly communicate the meeting time and location to them. The walk thru meeting gives you a chance to meet your stage crew and start building a relationship. Volunteers that live 40 miles or more outside of Austin are not required to attend. All stage crew, local or out of town, will be sent a training + quiz through mindflash. The training and quiz will be specific to volunteers on stage crew and should not take too much time to complete. • Venue walk thru scheduled with your APM and stage crew • Online training through Mindflash sent to stage crew specific to their duties VOLUNTEER NO SHOWS A No Show is a volunteer that does not show up to their assigned shift. If they are more than 30 minutes late without letting you know they are considered a No Show. Once they have been reported as a No Show their badge is deactivated. What to do day of show when a volunteer flakes: - Report the volunteer to the No Show number which will be provided to you prior to the event. - Details you need to provide the Volunteer Help Desk: - Volunteer's first and last name - What venue they flaked on - What shift they flaked on • Keep notes on your volunteers during the festival so you can then go back and input those notes on to the volunteers record in Shiftboard post event. • If you need extra stage crew call Stage Crew Relief and let your APM know. We will provide you with this number prior to the event. • If a volunteer shows up after you have reported them as a No Show you'll need to let Annette Pairett know, and then have that volunteer go to Volunteer Central in the morning to fix their badge.
