10 SXSW 2018 Stage Manager Handbook CONFIRM THEIR TRAVEL ARRANGEMENTS You need to know the following: • Phone numbers for the artists while they are en route to Austin. • Local numbers once they are in Austin Mobile phone numbers, if international. • Hotel/Flight Itinerary • Any other info that will help you get in contact with them once they have arrived in Austin • Artists can book a hotel room through the SXSW Housing Department. Artists can find information on housing options on their Artist Admin page. PRODUCTION INFORMATION • Stage Plot- Ask your artists if they have a stage plot to share with you. This will help orient you with their physical setup and verify the number of performers. Have copies available for the sound engineer on-site. • Tech Specs- SXSW Production Staff acquires all of the tech specs of the sound system, stage size, and lights for every venue. If a venue does not already have all of the production in place then SXSW will provide the equipment. You can share this information with artists and/or presenters. If an artist wants to use their own sound engineer they need to be listed as crew on the artist admin page. • Power Conversion- North American standard power alternates between 110-120v. Most other places use power ranging from 220-240v. When international bands bring their gear from their home countries they often need a power transformer to step the power of their gear down to North American standards. • Here is what you need to help us find out: - Are they bringing their own gear vs. renting American backline? - What exactly are they bringing that needs to be plugged in: Guitar pedals, FX units, keyboards, drum modules/machines, etc? - What country are they from? This helps us determine what type of plug adapter we need to provide with the transformer. - Once you have all of this information please fill out the Transformer section in the SM Tool. - Let your international bands know that they need to bring their own extension cords and power strips with the appropriate plug for their country of origin. Our transformers generally only have ONE outlet. • The Production Team will determine if it is necessary to provide more than one transformer. This is very rare. • The SXSW Production team will provide the transformer when it is needed based on the showcase schedule. • The transformer should be given to the Audio Engineer for safe keeping before and after the set. The Engineer or the artist should take care of plugging the appropriate gear into the transformer. Under no circumstances should a Stage Manager plug gear into a transformer. • Plugging 110-120v rated gear into a transformer will literally fry and destroy the electronics of the gear. For this reason the transformer should not remain on the stage when not in use. • SXSW Production will get the transformer on a set basis. Make sure it is with the engineer at Front of House ready to be picked up.
