6 SXSW 2018 Stage Manager Handbook THE VENUE Venue contact information can be found on the SM Advancement Tool. Please keep in mind that we are guests in these venues, so be respectful. Pre-Festival • Introduce yourself to the venue manager/owner/staff • Arrange a walk through for you and your stage crew to familiarize yourselves with the layout and floor plan. This includes fire exits, doors, bathrooms, and the logistics of load-in and load- out. A great time to schedule this walk through would be immediately following the Music Festival Meeting on Sunday, March 4th. • Ask your venue what their policy is on band merchandise. Many bands will want to sell their own "merch" (CDs, shirts, stickers, posters, etc.) during and after their showcase. Whether or not they can do this is at the sole discretion of the venue. The venue may want to charge artists for the use of a table. Day of Show Arrive at your venue early and introduce yourself to the onsite venue staff for that evening. • Discuss a plan for the beer tickets for artists • Discuss Code Compliance & Fire Marshall visits (see below for more details) • Greet the SXSW Door Staff when they arrive (see below for more details) • Perform a safety brief with your volunteers Post Festival If there is any further wrap up with the venue or any issues after SXSW, please send to your APM and Todd Puckhaber, todd@sxsw.com Code Compliance & Fire Marshall The main concerns to discuss with your venue are capacity and the Fire Marshall. Adhering to the mandated capacity is the venue responsibility, but SMs will want to stay in close contact with the venue door staff (not SXSW door staff ) to know how close to capacity the venue is. Once a venue reaches capacity it should be "one in, one out" only. The Fire Marshall and representatives from the City of Austin, AFD, TABC, or APD may visit the venue during SXSW. Let your APM know immediately if any of these entities arrive at your venue. If they deem that a venue is over capacity, shows may be shut down until the venue is emptied. If this happens, there is no way for a performer to make up their set. SMs need to be in constant (at least hourly) communication with the venue and SXSW door staff to make sure that this does not happen. SXSW Door Staff & Admission Policies The SXSW Door Staff enforces the admission policy into the venue. Primary Access is granted to patrons with Platinum and Music Badges. Secondary Access is given to SXSW music wristband, Interactive, and Film Badge holders. Followed by single admission patrons, if applicable for the night. Your door person will have the price for single ticket admissions if any are being sold, as well as a suggested number of sales allotted for the venue.
