8 SXSW 2018 Stage Manager Handbook BANDS/ARTISTS Contact info for each band can be found in the Advancement Tool. While ES&R tries to accommodate the SMs musical preferences when assigning venues, some acts may not fit into their personal taste. SMs need to be flexible with this and treat all artists with the same attention and respect. Please use email whenever possible. Email provides a written record of all communications with artists and presenters which is helpful when organizing information for multiple nights of showcases. Pre-Show Communications (See sections below for details on each bullet point) • Introduction • Artist Admin • Confirm Compensation • ACC Artist Check in Times • Confirm Travel Plans • Production Information • Stage Plots • Tech Specs • Power Conversion • Backline Arrangements • Video Footage • Parking Information • Sounds Checks • Set Times and Changeovers Day of Show (You'll still advance ahead of time so everyone is prepared DOS) • Venue Check In Time • Loading and Unloading Zones • Sound Checks • Admission Policy Post Show • Resolve Any Remaining Issues ARTIST INTRODUCTION • Introduce yourself as their SXSW Stage Manager and let them know that you are their primary contact for the showcase. • Ask who their primary contact is for advancement of the show(s). Sometimes, the primary contact that we have is not the best production contact. If this is the case, please email advancement@sxsw.com to have the band's contact updated. • Confirm the schedule. This schedule may not be complete and is always subject to change. You will be able to monitor schedule changes in the SM Advancement Tool. SMs are expected to keep the schedule absolutely confidential until the final version is released to the media. If they decide to drop out of their showcase, they need to contact the music festival staff (musicfest@sxsw.com) immediately. You should also let the music festival programmer know immediately.
